Best Practice: Document Everything – Actions, Conversations, and Outcomes


Let’s talk about a power move that sets high-performing VAs apart from the rest:
Document. Everything.
Every task. Every message. Every update. Every win. Every hiccup.
If you’re not doing this yet, it’s time to start.
Here’s why it matters:
1. CYA (Cover Your Accountability)
Documentation is your safety net. If something goes wrong or is questioned later, your notes become your receipts. You’ve got proof of what happened, when, and why—no guessing games, no drama.
2. Don’t Assume People Remember
Just because it was said doesn’t mean it was remembered (or even heard). People are juggling a lot. Sending a quick recap after a Zoom or Slack convo isn’t annoying—it’s a power move. It shows you’re sharp, thorough, and on top of it.
3. Avoid Miscommunication & Mistakes
The more you write down, the less room there is for “Wait, I thought you meant…” Documenting reduces backtracking and builds a reputation for clarity and reliability.
4. Make It Easy to Pick Up Where You Left Off

What Should You Be Documenting?

How to Make It a Habit:
• Use your team’s project management tool (ClickUp, Trello, Asana, etc.)
• Send quick recap emails or Slack messages after calls
• Keep a shared notes log or update tracker
• Update your CRM or deal files regularly
• Label and date everything
